GENERAL POLICIES AND PROCEDURES
Message from the Management
The overall objective of this manual is to describe all general policies and procedures currently in use at AL URUBA BUSINESS CENTER.
This document is addressed to all AL URUBA BUSINESS CENTER staff, clients, suppliers, and visitors.
These policies will be reviewed annually, revised as necessary and approved by the management.
Organizational Code of Conduct
AL URUBA BUSINESS CENTER will comply with all applicable laws and regulations and expects all its employees to conduct business in accordance with relevant UAE laws and regulations and to refrain from any illegal, dishonest, or unethical conduct.
AL URUBA BUSINESS CENTER employees have to abide by the rules, policies and procedures prescribed in the General Policies Manual as well as all relevant Code of Conduct guidelines.
DM and DCD Compliance
AL URUBA BUSINESS CENTER complies with all the requirements in order to obtain approval from the Dubai Municipality and Dubai Civil Defence. The business center and its contractors prepared and submitted the necessary documents and drawings such as:

First-Aid
First Aid is the immediate and temporary care given to a person who have been injured or suddenly get ill before medical assistant arrives. It incorporates a scope of straightforward yet possibly life-saving techniques and methods pointed towards settling the patient’s condition and preventing further harm.
AL URUBA BUSINESS CENTER is committed to providing adequate first aid facilities, equipment, and to respond promptly to medical emergencies. Trained first aiders will be appointed to administer first aid effectively in accordance with recognized first aid protocols and guidelines.
All designated first aiders will receive appropriate training and certification in first aid. Regular refresher training and updates will be provided to ensure that first aiders maintain their skills and knowledge up to date.
In the event of an injury or medical emergency:
· Employees, clients, and visitors should seek assistance from the nearest trained first aider or contact emergency services immediately.
· First aiders will assess the situation, provide necessary first aid treatment, and arrange for further medical assistance if required.
· Encourage employees to report any incidents or injuries promptly to ensure appropriate first aid measures.
The business center will maintain accurate records of all first aid incidents, treatments , and referrals to medical professionals.
Fire Safety
The management of Garhoud Views Building has their fire prevention and safety measures such as fire extinguishers, fire alarms, emergency lightings, fire exits, escape routes guides, etc.
For additional safety measures, AL URUBA BUSINESS CENTER has contracted with an external firefighting company to service the fire extinguishers and fire alarm system quarterly.
The business center advises all employees, clients, and visitors to follow these instructions:
· In the event of fire, the safety of life will override all other considerations, such as saving property and extinguishing the fire.
· If a fire is discovered, the alarm will be raised immediately. This should be the first action taken upon discovery of any fire, however small.
· Attempting to extinguish the fire is not encouraged, but extinguishing action may be taken if it is safe to do so.
· Immediate evacuation of the building must take place as soon as the evacuate signal is given.
· Re-entry of the building is strictly prohibited until declared it is safe to do so. Silencing of the fire alarm system should never be taken as an indication that it is safe to re-enter the building.
Safety Plan
AL URUBA BUSINESS CENTER aims to have a safe and peaceful environment for each and everyone inside the center. However, in a very rare case, the police should be involved whenever a criminal, client, employee or someone who has personal grudges intents to show the following signs:
· There is a danger to life.
· Risk of serious injury.
· A serious crime is in progress or about to happen (violence).
· Threats.
Cleaning and Maintenance
AL URUBA BUSINESS CENTER recognizes the need to ensure that high standards of cleanliness are achieved. Poor cleaning standards in the workplace can lead to disease, problems with pests and fire hazards.
The following are the current practices of the business center:
· In contract with a cleaning and technical company to ensure sufficient cleaning resources are available to keep the premises clean according to set standards.
· An everyday cleaning plan for the common areas is implemented.
· Offices will be cleaned once a week unless requires immediate cleaning.
· Designated personnel shall carry out cleanliness inspections twice a week to ensure that cleaning tasks are completed in accordance with any specified requirements.
· Floors will be cleaned on a regular basis and waste bins will be emptied regularly.
· The office boys must complete all cleaning activities on a planned, regular basis according to a set schedule and to standards specified by the General Manager.
· The office boys must fully comply with all relevant health and safety guidelines while performing their duties.
· Pest control will be done at least quarterly.
· Maintenance of air conditioners will be done yearly.
· Repairing of common areas will be done when needed.
User Responsibilities
AL URUBA BUSINESS CENTER provides free usage of facilities, equipments, furniture, and consumables to its employees, clients, and visitors.
In return, the business center expects these users to:

Meeting Room)
Must use properly.
Report to management any
problem with the facility.
Always keep clean and tidy.

Equipments (Printer,
Telephones)
Must use properly.
Ask for assistance if
needed.
Report to management any
problem with the equipment.
Do not use for personal
purposes.
· Consumables (Sweets, Refreshments, Tissues, Papers)
Take only what is needed and
appropriate.
Do not take advantage.

Furniture
Must use properly.
Damaged furniture must be
repaired and broken furniture must be replaced by the person who damaged or
broke it.
Contingency Plan
A contingency plan is a strategy for how your organization will respond to important or business-critical events that knock your original plans off track. Executed correctly, a business contingency plan can mitigate risk and help you get back to business as usual—as quickly as possible.
The contingency plan of AL URUBA BUSINESS CENTER includes the following:

Information System
Backing up of
online data is done periodically. Data includes company and clients’ contacts
and documents. Hard copies are also kept on a safe place.

Unexpected Loss of a Key Employee
All of key
employees have someone who they have trained to act on their positions in case
of their sudden loss resignation, critical illness or death. All employees are
also advised to maintain an updated list of their duties and responsibilities.

Business

framework to help distressed companies in the UAE to avoid bankruptcy and
liquidation. Further on, bankruptcy law protection against and towards debtors
and creditors.
